Job Responsibilities:
As a Follow-up Specialist, your primary responsibilities will include, but are not limited to:
Order Management: Closely monitoring order progress from initial order placement to final delivery. This includes tracking raw material availability, production scheduling, quality control checks, and shipping arrangements.
Client Communication: Maintaining regular and proactive communication with clients via email, phone, and other relevant channels, providing timely updates on order status, addressing queries, and resolving any issues that may arise.
Production Coordination: Working closely with various departments within the factory, including production, purchasing, and quality control, to ensure smooth workflow and timely completion of orders. This involves coordinating resources, addressing production bottlenecks, and facilitating efficient communication across teams.
Documentation Management: Maintaining accurate and up-to-date records of all order-related documentation, including purchase orders, production schedules, quality inspection reports, shipping documents, and client communication logs. Ensuring all documentation is properly filed and readily accessible.
Logistics Coordination: Collaborating with logistics providers to arrange efficient and cost-effective shipping of finished goods to clients, including tracking shipments and resolving any delivery-related issues.
Quality Control Follow-up: Ensuring that all outgoing orders meet our stringent quality standards. This involves reviewing quality control reports, addressing any identified defects, and implementing corrective actions to prevent future occurrences.
Problem Solving: Identifying and resolving order-related issues proactively, escalating complex problems to the relevant managers when necessary, and proposing solutions to improve operational efficiency.
Data Analysis: Tracking key performance indicators (KPIs) related to order processing, delivery times, and client satisfaction. Analyzing data to identify areas for improvement and propose strategies for enhanced efficiency.
Reporting: Preparing regular reports on order status, production progress, and key performance indicators for management review.
Qualifications and Skills:
The ideal candidate will possess the following qualifications and skills:
Bachelor's degree in a relevant field (e.g., business administration, supply chain management) is preferred.
Minimum of 2-3 years of experience in a similar role, preferably within the manufacturing or furniture industry.
Excellent command of both written and spoken English is crucial for effective communication with international clients.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) is essential.
Experience with ERP or CRM systems is a plus.
Strong organizational skills and attention to detail are paramount.
Excellent communication and interpersonal skills are necessary for effective collaboration with internal teams and external clients.
